Volunteering

Since the SBST is a volunteer, not-for-profit, parent-run organization, we cannot operate without the parental involvement so the following is vital to the success of the team. Each family will be required to volunteer their time based on the requirements listed below. Requirements are based on the highest level swimmer for families with more than one swimmer. All points must be logged through the Active.com team site using your family login. Volunteer points remaining for the Season Requirements at the end of the year will be billed at a rate of $25/point on August 1. Volunteer points remaining for the Meet Support Requirements at the end of the year will be billed at a rate of $50/point on August 1st.

     Discovery Group: 8 points
     Challenge 1 Group: 10 points
     Challenge 2 Group: 12 points
     Cuda Group: 14 points
     Junior Group: 16 points
     Senior Group: 18 points

Please see the Volunteer Opportunities below for a list of opportunities.  Swimmers that swim 5 months or less during the calendar year will be required to complete 50% of the volunteer hours listed below. There are no volunteer requirements for first year swimmers that join May-July.

Volunteer Buyout Fee: You can opt to pay a one-time Volunteer Buyout Fee of $350 which will exclude you from participating in volunteer opportunities. This fee however does not exclude you from volunteering at home swim meets.

Fundraising Committee

SCRIP COORDINATOR

Process monthly SCRIP gift card orders, advertising the program, assist families with setting up their accounts and distribute gift cards when they arrive (Easy to do from home.)

SWIM FOR SOPRIS COORDINATOR

Assist in setting date for event, obtain supplies for pledge packets, put together pledge packets & distribute to swimmers, organize volunteers to help with set up & clean up, pot-luck breakfast food, and lap counting. 

SWIM FOR SOPRIS HELPERS

Jobs include: Set up & Clean up around the pool area, signing up for food and lap counting for the swimmers.

TURKEY TROT COORDINATOR

This position begins in the summer with getting sponsors and meeting with the golf course. You will also oversee the online race registration, supplies for race management, updating event forms, putting race packets together for the three teams to sell bibs, contacting the coaches of the three teams for packet distribution, getting porta-potties for race day, getting volunteers for race day, race day set up and clean up, food ordering for race day, and thank you's.

TURKEY TROT HELPERS

Assist with race day registration, food prep and serving, setup the day before and race day, cleanup of event.

TEAM SPONSORSHIP COORDINATOR

In charge of getting our annual team sponsors by contacting community business owners for their financial support, working with local printer to update the sponsor board, communicating the sponsors and logos with communications person for marketing, website updates, social media acknowledgements, meet advertising exposure in meet programs, and collecting the money for sponsorships. You will need to work with the team secretary and bookeeper for invoicing and receipts.

GRANTS

Complete and submit applications for annual grants.  Easy to do from home.


Social Committee

ANNUAL BANQUETS

Coordinate and help with the set up for the annual banquets twice a year - late spring/early fall. Includes getting volunteers for set-up and clean-up, organizing food selections and methods. Informing the communications coordinator to let the families know the plans. 

SPECIAL EVENTS COORDINATOR

Coordinate dates with the board and coaches for special events during the year. Events could include: pizza party, ice skating party, movie nights, a Saturday morning breakfast after practice, monthly birthday celebrations, team pictures...etc. This includes getting volunteers to help with any set-up or clean-up needed, organizing food items, reserving  rooms and working with the communications coordinator to inform families of event and needs.

SWIMMER PLAQUES

Order swimmer plaques and plates to be handed out at banquet (need to order 2-3 weeks prior to banquet). This includes maintaining a working list of swimmers who have already received a plaque and specific years, as well as who needs a plaque. Easy to do at home.

TEAM HOTEL ROOM BLOCKS Coordinate hotel room blocks for the team at all away meets. You would call hotels to get special discounted pricing, secure the block of rooms, notify the website and communications coordinators so they are able notify families with the block information and deadlines. Easy to do from home.
TEAM DINNERS

Arrange for team dinners at all away swim meets in which it is possible due to sessions and timing. If needed, also organize a volunteer to set up a location or pick-up the food to bring to a location.

SUPPLY INVENTORY Inventory supply of hospitality/concessions items prior to swim meets, make a list of items that need to be picked up at Sams/Costco

Team Committee

TEAM BULLETIN BOARD

Update the team bulletin board located on deck in the team corner (monthly). Includes printing newspaper articles, pictures, schedules, coach bios and other important information. Great position for a parent that is on deck during their swimmer's practice.

TEAM CORNER & SWIMMER FOLDERS

Maintain the team corner during the year (monthly cleanup of lost and found, garbage, etc.). Great position for a parent that is on deck during their swimmer's practice. Maintain swimmer folders by making sure folders are current with swimmer participation. Cleaning out the folders if needed.

MEET DIRECTOR

Meet Director for home meets. Requires additional time leading up to meet.

MEET RIBBONS & AWARDS

Inventory & order ribbons/awards for all home meets. Distribute and organize the ribbons/awards for teams to pick up at the conclusion of the meet. This also includes any participation awards for teams.

TEAM SHIRTS & SPIRIT APPAREL

Work with a shirt printer to design and order shirts for swimmers in the fall and spring. Once shirts are delivered, you would be in charge of distribution to swimmers and coaches. This would also include any spirit shirt orders the team decides to offer to the families around the same time as the team shirts. Would gather the order forms and place the order, then distrisbute them once they arrive.

TEAM PHOTOS

Take pictures at swim meets, post on smugmug. Pictures will also be used for marketing materials, social media and news media.

Communications Committee

WEBSITE MAINTENANCE & COMMUNICATION COORDINATOR

If you can use Word, you can update our website. You would update the website at least weekly with information given to you from various committees, coordinators or coaches for upcoming events, meets, pool closures...etc. Once the website is updated, you would also send out a weekly email to families with news worthy items that are coming up. You may also be asked to send out special event emails or text messages for last minute pool closures or meet reminders.

SOCIAL MEDIA

Submit posts and information to Facebook to keep page current and have another method of getting information to families. You would work with the communication coordinator to get the information needed for posts.

  Public Relations Committee

CORRESPONDENCE

Send team thank you cards (as needed).  Easy to do from home.

RECRUITING

Oversee and help organize stroke clinics, distribute flyers, etc. (fall, or as needed).
